Through my decades of experience in entertaining children's parties, I have learned to cherish the significance of time 🕑, and here are the reasons why?
🎈🎪Decorators and 🍽️caterers usually arrive at the venue around 3 to 6 hours before the party time to ensure the party venue is fully ready even before the first guest arrives. Food carts, game booths, lights & sound system, inflatables, photo booths, etc. (whichever you availed) always come early to ensure they can adequately address technical concerns and issues before the program starts. It also takes them almost the same time to clear the venue and return to their warehouse before they can go home and rest for the next event.
📸📹Photographers and videographers arrive early to ensure that they can capture the beauty of the party venue while there are still no guests and kids around. After capturing the smiles and touches of laughter, the wacky and candid situations, they’ll spend more time editing those to give you a better output.
🎭Performers check in early to find an appropriate place to prepare and set up. And to discuss with the host their time slot and check on the stage or spot where they will perform. Once done, they either go to another party to serve or go home to review and prepare their equipment or props to ensure it is still in their best condition for their next performance.
🎤Then comes your party host, who studies the place for safety, especially for the kids. Notes down the available consumables (food carts) and other activities (such as face painting and the like) and inform the early birds which ones are already available for them. Coordinate with other performers and their space requirements and usually address changes needed for a continuous and smooth program flow. The job may look easy, but the stress they are taking away from you after the party is unmeasurable to ensure the party will run smoothly.
🕊️The early birds, your guests, whom, most of the time, are the ones who came from the provinces or the far side of the metro, are the ones who spend a lot of travel time just to be able to join in the fun and celebrate your child’s birthday with you.
👶Let’s not forget about the kids. Starting with the star of the party, the birthday kid. Babies 1-3 years old are new to the festive environment and have little knowledge or care of what is happening around them because they tend to get irritated easily. Bigger kids are active and vibrant, yet, they have a short attention span, and leaving them with nothing to do for more than 10 minutes might make them go somewhere else, where they can focus their energy (rather than the program). That's why having a continuous program flow suits them perfectly.
👨🏼👩🏻👧🏻👦🏼Some guests have other necessary appointments, and yet, they still find time to give you a few hours and help you celebrate your precious child’s party.
👨🏻👩🏻👦🏻And, of course, the most valuable time to consider is yours! You, the Parents, the primary host of the party, from planning, meetings, budgeting, and coordinating with your suppliers, and spent so much time preparing for this special day for your precious child. You must have a party program that will run smoothly, finish on time, and spend the rest you deserve for a job well done, chilling with your friends and close relatives.
To consider the value of everyone’s time, clients must take note of the following:
The most appropriate “Children’s Party” time is 3 hours.
The most convenient time for a program is up to 2 hours.
3-5 games are ideal, whatever fits within 30 minutes
Having 2 leading entertainers is more than enough; 3 are still considerable; just choose the best one that suits your party theme. 🎉(Note: each performer must have an act of not more than 30 minutes)
Setting the invitation 30 minutes before the scheduled party time is more suitable
Be mindful and ready for overtime fees, especially if indicated in the contract (if not, it's up to the kindness of your heart and generosity to consider 😉).
