What actually happens after you hire a wedding planner?

For us, it roughly looks like this:

1. Discovery Call
We understand your wedding, priorities, budget and what you actually want.

2. Venue + Budget
Events, timelines, priorities and where the money needs to go.

3. Plan + Vendors
Shortlisting, negotiating and booking the right teams.

4. Design
Décor, production, entertainment and the overall experience come together.

5. Logistics
Guest hospitality, rooms, transport, permissions, timelines and all the behind-the-scenes details.

6. Final Planning
Vendor briefings, production checks, final timelines and making sure everyone knows what happens when.

7. Wedding Day
Our team takes over on ground, manages the moving parts and handles the unexpected.

Seven steps sounds simple.

The actual work between them? Not quite. 😂

Couples are looking for experiences that feel more personal. They want better and more unique events like:
A karaoke night instead of another cocktail party.
A family games evening.
A Silent disco.
Sundowner celebrations.
A food truck.
A live music jam sesh.
A movie-themed evening inspired by the couple’s story.
A chef’s table or regional food experience.
A charity activity where guests contribute to a cause chosen by the couple.
The best planners are the ones creating moments that people haven’t seen before.
If you could replace one traditional wedding function with something completely different, what would it be?

Every wedding has a planner.

The only question is whether they’re a professional... or someone from the family.

Indian weddings don’t run on décor alone. They run on hundreds of decisions that start months before the first guest arrives.

Who’s following up with the caterer? Who’s making sure the photographer knows every function? Who’s checking if the artist’s flight has landed? Who’s handling the venue, the production team, the florist, the logistics, the hospitality, the last-minute guest changes and the inevitable surprises that come with every wedding?

Those responsibilities don’t disappear because you don’t hire a planner. They simply get transferred to someone else.
Usually, it’s a sibling who’s trying to enjoy the sangeet while answering vendor calls. A parent who’s worrying about room allocations instead of spending time with guests. Or a friend who’s suddenly coordinating timelines on the wedding day.

That’s why we’ve never looked at wedding planning as a luxury. Good planning is about making sure the people who matter most get to experience it instead of managing it.

Because the bride shouldn’t be calling the makeup artist. The groom shouldn’t be checking if the baraat has left. And your parents shouldn’t remember the wedding as three days of solving problems.
That’s what a planner is really there for.

A wedding vendor cancelling at the last minute isn’t just a “find someone else” problem.
We’ve seen how quickly one cancellation can create a chain reaction. A photographer dropping out means finding someone who can match the brief, is available on that date, has the right team size and can work with the existing timeline. An artist cancelling can mean reworking the entire evening.
And this is where having a wedding planner actually makes a difference.
The planner should already know who can step in, what the replacement will cost, what part of the original plan can be retained and what needs to change. You’re not starting from zero at 11 AM on the wedding day.
This is also why we don’t believe in choosing vendors only because they have worked with someone before or because they came recommended by a friend. You need to know how reliable they are, how they operate under pressure and whether there is a realistic backup if things go sideways.
And no, we’re not saying you need a second photographer, second decorator, second makeup artist and second of everything sitting around waiting for disaster.
The smarter approach is knowing which vendors are critical enough to have a contingency for, and what that contingency actually looks like.
Because when a vendor cancels three days before the wedding, the question isn’t, “Who do we know?” It’s “Who can actually take this over without compromising the wedding?”

Do Wedding Planners Actually Help You Pick ALL Your Vendors? 👀
Short answer: Yes. If you’ve hired a full-service wedding planner.
But there’s a difference between giving you a list of vendors and actually taking ownership of your vendor selection.
Depending on your wedding, you’re not just booking a photographer and a decorator. You’re choosing from 15-20 different vendor categories.
Venue + accommodation Catering + bar Décor + florals + production Photography + cinematography Wedding content creator Makeup + mehendi DJ / artists / choreographer Invitations + stationery Transportation / logistics Guest hospitality Pandit / officiant Entertainment + gifting Lighting, sound & technical production Permissions & licences
And then come the things couples don’t even realise need planning.
Who is managing room allocations? Who is coordinating vendor meals? Who is handling airport pickups? Who is looking after the baraat route? Who is backstage during the sangeet? Who makes sure the photographer, makeup artist, family and venue are all following the same timeline? Who steps in if a vendor cancels last minute?
This is the work happening behind the scenes.
A good wedding planner doesn’t give every couple the same vendor list. They shortlist vendors based on your budget, guest count, venue, aesthetic and the kind of wedding you’re planning, negotiate on your behalf and manage them until the wedding is over. And this is exactly why wedding planners charge a fee. You’re not paying for a contact list. You’re paying for sourcing, vetting, negotiating, coordinating and managing dozens of moving parts so you don’t have to. That’s the part most people don’t see.

We love beautiful wedding pictures. Of course we do. But sometimes couples start planning the entire wedding around how it will look in photographs.

The stage is placed for the perfect frame. The couple is pulled away from guests for another set of pictures. A ceremony gets rushed because the next shot is waiting. Everyone is asked to stand in a particular place because “this will look better on camera.”

And suddenly, you’re spending more time creating pictures of your wedding than actually experiencing your wedding.

A good wedding timeline should work for three things together: the couple, the guests, and the photographer.

For example, if you have a grand entry, don’t plan only for the photographer to get the shot. Think about where your guests will be standing, whether they can actually see the entry, how the couple will move from the entrance to the stage, and what happens immediately after.

The same goes for family photographs. Instead of calling 40 people one by one while everyone else waits, make a proper list beforehand and keep the groups ready.
And please leave buffer time. In Indian weddings, there are always outfit changes, family photos, rituals, traffic, baraat delays, and somebody who has “just five minutes” of work that somehow takes twenty.

The goal is not to have a wedding that looks amazing in pictures. The goal is to have a wedding that felt amazing while it was happening.

The pictures should remind you of that experience, not be the experience.

This is one of those things couples usually don’t think about until someone asks for a document a few days before the wedding.

And the tricky part is that there isn’t one universal list for every wedding in India. It depends on your city, venue, number of guests, whether the event is indoors or outdoors, whether you’re using amplified sound, serving alcohol, putting up temporary structures, etc.

But these are some of the things we always ask about early:

🔊 Sound / loudspeaker permission
If you’re using DJs, loudspeakers or amplified sound, check what permission is required from the local authority or police. Several state police authorities specifically require permission for sound amplification.

🍾 Alcohol / excise permit
If alcohol is being served, check whether a temporary event permit is required in your state. For example, Telangana has a dedicated Event Permit system through the Prohibition & Excise Department, including permits for social and family events.

🔥 Fire & venue safety
Ask your venue for its current fire NOC and other safety approvals.

👮 Police / local permissions
Large outdoor weddings, events involving traffic or parking arrangements, late-night celebrations and certain entertainment setups can require additional local permissions.

🎵 Music licences
This is where things get particularly confusing. There are different questions around copyright licences, recorded music, live performances and what is already covered by the venue or vendor. Get clarity on what applies to your specific event and who is responsible for it. Indian copyright law specifically includes marriage and social festivities associated with marriage.

Before you lock the final event plan, ask your venue and planner. Keep copies of every approval with your on-ground team too.
