Effective communication in business includes techniques that go beyond written words. Graphics can play a big part as well. Understanding how different audiences respond to communications -- including messages that use graphics -- will help you create more successful messages.

List Your Objectives
Before you begin working on a print ad, brochure, billboard or Web page, write a list of your objectives. Some business communications attempt to inform using detailed data. Others try to evoke an emotion, such as empathy, trust, hipness, urgency. Different pictures, colors, typography and illustrations are necessary to convey different emotions. Your business communication objectives might include getting a consumer to purchase a product, see your brand in a certain light, or simply request more information.

Define Your Audience
Use multiple demographic characteristics to learn what type of audience you seek to communicate with. Your customers might be primarily men, but to most effectively communicate your message, you will need to know the age, ethnicity, education level, marital status, parental status and income level of your primary target. This will help you choose appropriate graphics for that audience.

Gender Considerations
Women respond better to abstract concepts than men, who tend to prefer concrete information. Use rounded edges, images of people and softer colors for women. Use squares and diagonals, numbers and illustrations, and muted tones for men. Use separate text blocks or multiple areas of information when designing communications for men. For women, create a more unified, less modular layout.

The Inverted Six Layout
Westerners read from right to left. They move from the top, left-hand side of a page, to the middle right, then bottom right, moving to the lower left side, then finishing at the middle left of the page. This approximates the shape of a โ€œ6โ€ that has been flipped, or inverted, horizontally. Keep this layout in mind when placing your elements on the page, including photos, illustrations, text, phone numbers, URLs and logos.

Typography
Reverse type (white letters on a dark background) makes your text stand out, but is more difficult to read. The same is true of italics and all capital letters. Use these elements sparingly, for short headlines or single words, such as โ€œSale!โ€ Keep longer body copy more readable. Use larger type and more leading (e.g. space between lines) for older audiences, especially if they will be reading your message on a mobile phone or computer screen.

Letters, Resumes and Brochures
Keep paragraphs short โ€” limited to two or three sentences that cover one idea โ€” when writing letters, laying out a resume or creating collateral materials. Use bullet points to make it easy for the reader to quickly see important information. A "P.S." on a letter can act as a graphic device to make a piece of information stand out. Many people read the P.S. on a letter first, so take advantage of this to put a key piece of information in the P.S. rather than making it an afterthought.

Web Pages
Avoid flashing text or links on Web pages. These are distracting to visitors trying to concentrate on a text block. Use the "inverted 6" layout on Web pages, keeping the most important information above the fold, or the area of the screen that visitors see without scrolling down. If your objective is to increase ad clicks on a Web page, Google recommends placing ads in certain โ€œhotspots,โ€ such as toward the top and middle of the page and top, left-hand side of the page.

Whether you use print, TV, radio, social media or other forms of marketing to promote your business, itโ€™s important that you get and keep readersโ€™ attention. Itโ€™s not enough to create communications that contain the exact message you want to send -- you need to get those messages read, heard or seen. Understanding what affects consumersโ€™ attention when it comes to marketing will help you get the most mileage from your communications.

Relevance
Readers are more likely to pay attention to your communications if you make your message relevant to them. Savvy marketers sell the benefits of their products, rather than the features. Talk about your customersโ€™ needs, rather than about yourself. For example, if you own a restaurant, think about why people dine out. Different customers want benefits such as quick service, variety, kid-friendly menus or healthy dishes. Depending on what your unique selling point is, advertise your benefits, rather than how many years youโ€™ve been in business, that the restaurant is family owned or that youโ€™ve won a local award.

Credibility
Anyone can buy an ad that says their product is the best. Consumers want to know they will get what they paid for when they shop, and offering reassurance will get their attention. Do this by using a credible expert or celebrity to endorse your product. List your qualifications or awards won after youโ€™ve grabbed potential customersโ€™ attention with your benefits.

Headlines
Marketers often have to fight โ€œclutter,โ€ or the competition from other advertisers in magazines or newspapers or on radio and TV stations. Your headline must grab consumersโ€™ attention or they might tune out what follows. Start your ads with a question consumers will want to hear answered or by demonstrating a problem they have. For example, a dentist might begin ads by asking, โ€œWould you like to reduce your childโ€™s cavities?โ€ The rest of the ad would then discuss how regular checkups and treatments prevent cavities. Resist the temptation to make the name of your business or other non-benefit your headline. Avoid cute or obnoxious headlines intended only to stop readers, listeners or viewers, which might alienate customers when you donโ€™t deliver on the headline.

Layout
Photos, illustrations and typography can make your print message interesting or difficult to read. Make your print messages easy to read following a few basic layout techniques. Donโ€™t use italics or reverse type in body copy, which makes text difficult to read. Your customers might stop reading after a line or two. Donโ€™t use all capital letters in headlines, especially if you are using a sans serif font -- this makes the letters blend together and more difficult to read. Use an inverted six layout, so named because it looks like a โ€œ6โ€ thatโ€™s been flipped. Start with your most important element at the top left of the page, then move your elements, in order of importance, to the right and down, coming back around and finishing at the bottom, left-hand side of the page. Use a large photo or graphic to grab peopleโ€™s attention long enough to get them to look at your headline.

Website Graphics
The more videos, animation and other elements you have on a website page that makes it take longer to load, the more you might alienate Internet surfers who want quick information. Avoid blinking text, which distracts visitors when they are trying to concentrate on another text block. Try to place your important information on the main viewing area of a computer screen or mobile app so visitors donโ€™t have to scroll down the page. Consider breaking large amounts of text into three different pages that let readers click and continue to read without having to keep scrolling to look for information.

A business flyer can be used to promote an upcoming special event, list price discounts for popular products or introduce your company to prospective customers. A basic business flyer may get some looks when you hand it out, but an attractive business flyer can gather interest for your company and increase your marketing exposure. Flyers are an inexpensive way to reach your audience one person at a time.

Use Color
Too many colors can distract the reader from your flyer's message, but just the right amount of color can make certain elements of your flyer stand out. Basic text can be done in black on a white background, but you can make important information stand out by printing it in red. Use different colors for various segments of your flyer. For example, blue print can be used for a list of features and green print for the product cost. Grouping elements together by color catches the reader's eye and helps the information to stand out.

Segmentation
An attractive, well-organized flyer is easy to read. Use solid line boxes and shading to segment your flyer and make information easier for your audience to find. The color of your text box borders can coincide with the color of your text to make it all stand out more. Arrange your boxes and shaded areas on your page so that the information flows.

Emotions
Using emotions to emphasize the points on your business flyer makes it attractive and effective, according to Bob Leduc, writing on the "Trainers Direct" website. Do not speak in practical terms, such as saving money, but use emotional messages such as how much fun the product is or how much younger it will make customers look. Use emotional messages that will appeal to your target audience. For example, if your audience is teenagers and you are marketing a car care product, then emphasize how your product will make the customers' care the envy of their friends. Emotional appeals that draw readers into the rest of your message can make your flyer very attractive to your target audience.

Picture
A picture on your business flyer helps customers to visualize your message and will make your flyer stand out. Make sure your image is pertinent to the message on your flyer and keep the image in good taste. Your image should promote the benefits of your product as opposed to trying to portray the competition in a negative way.
