How to Avoid In-House AV Fees (Because I Just Ran Into This Mess Myself!)
If you're planning an event at a hotel or convention center, be prepared for the dreaded in-house AV fees. I just ran into this problem recently, and let me tell you, it’s a money grab. Venues often push their in-house AV services, charging outrageous fees for equipment and labor, even when you bring your own gear!
Here are some tips to avoid these unnecessary costs:
✅ Negotiate AV Terms Upfront - Before signing a contract, make sure there's a waiver or clause that allows you to use an outside AV provider without extra fees.
✅ Ask About "Exclusive" AV Requirements - Some venues claim their AV is “mandatory,” but push back and ask for itemized pricing. Many times, it’s negotiable.
✅ Beware of Patch Fees - Some venues charge a "patch fee" just to connect external equipment to their house system.
✅ Get a Detailed AV Quote - Compare their pricing with an outside AV company, like DAK Media Productions. You’ll often find better service and lower costs with an independent provider.
✅ Leverage Your Business - If you're bringing a large event, use that as leverage to negotiate AV flexibility. Venues want your business and may be willing to waive certain fees.
